How to Limit Access to LS Central POS to Managers Only

Retailers rely on their Point of Sale (POS) system because it handles all retail transactions that take place in the store. It is also where critical activities occur, such as authorizing refunds and voids. Unfettered access to all the features and functions of the POS system can compromise the store’s security and make it vulnerable to fraud.

By limiting who can access the key functions of the POS, stores will be able to lower the risk of fraud and add accountability to store personnel.

Advantages of limiting access to the POS

Managers generally have more experience and authority to handle critical sales decisions. Giving your managers access to the key POS functions offers the following advantages:

Greater security and reduced internal fraud

One of the potential threats to retail establishments is the incidence of internal fraud, which includes voided transactions, refunds, and discounts. Ensuring that a manager must authorize these types of transactions reduces the possibility of fraudulent activity by a sales associate acting alone.

Audit trail

Restricting access to key POS functions to managers establishes an audit trail of actions taken and who authorized the activity. This helps provide managers accountability and allows them to oversee sales floor operations.

Operational efficiency

Making managers more accountable will help ensure experienced personnel make the key decisions involving major financial risk, increasing the efficiency of sales floor operations.

How to configure manager-only access for LS Central POS systems

Given the reasons why you should want to limit access to critical functions in your POS, here are several ways to configure manager-only access to protect your LS Central POS systems:

Set the “Manager Key” field to control the execution of specific commands

The LS Central POS allows you to identify specific commands that should be limited so that only users with manager credentials can execute that command. Set the “Manager Key” field to TRUE for the commands you want to restrict its use only to individuals with manager permissions.

Use “Staff Group Access” to limit access only to members of that group

LS Central POS allows you to set up a staff permission group. By setting up a group comprised only of managerial staff, you can assign that group permission to access a button on the POS by using the “Staff Group Access” field. In this way, you can limit access to the button to those managers who are part of the group. This type of permission can be used to restrict actions like voiding transactions or issuing refunds to managerial employees.

Limit access to a menu using the “Manager Key” field

Some LS Central POS menus can display sensitive or restricted information. In that case, you might want to limit access to these menus to a select group of users. Select a POS menu and set the “Manager Key” field to TRUE to restrict access to the entire menu and its functions to managers only.
